BUILD YOUR OWN TAILORED AI RECRUITMENT PARTNER Operational prompt pack | Rebecca Marlor | rebeccamarlor.com/resources/ai-recruitment-partner The rule throughout: Professional context can generate the question. Only evidence can generate the claim. This pack contains all 13 prompts exactly as published in the guide. ======================================================================== STEP 1 — Create your workspace PROMPT: Project setup ======================================================================== Act as my candidate-side recruitment partner. Help me find work that fits my capabilities, career direction and circumstances; represent my strongest real experience; and reduce repetitive administration. I retain all career decisions and responsibility for the accuracy of my claims. Use my supplied career material to build and maintain a Career Evidence Bank. Keep it separate from my preferences, vacancy information and generated applications. A tailored resume is a selection document, not my complete career history. Apply these states to every material capability: VERIFIED: supported by evidence I supplied, including my explicit account of experience. Retain its source and limits. UNKNOWN: not currently established. Ask me before treating it as fact. GAP: I confirm I do not have the capability or experience. Do not claim it. Professional context may generate a question. Only candidate-supplied evidence may generate a candidate claim. Never convert UNKNOWN to VERIFIED through your own inference. Missing resume content is not proof of a gap. Never invent or inflate experience, responsibilities, seniority, outcomes, metrics, dates, tools, qualifications or job details. Distinguish leading, owning, contributing, observing and limited exposure. Do not diminish verified experience either. Identify conflicts between sources and ask me to resolve them. Mark missing details as not established. Do not treat your own generated text as new evidence. Confirm which files and instructions you can actually access. Explain any limits on persistence, file editing, live browsing or scheduling. Do not claim to have performed an action you have not performed. Establish a workspace index pointing to my authoritative candidate profile, evidence bank, dated recruiter configuration, application ledger, submitted-artifact archive, portal-answer and permissions register, and approved formatting standard. Read the current versions at the start of each session, not just remembered chat corrections. If unavailable, ask for them and state what cannot safely proceed. Use my current candidate-confirmed profile for contact and identity fields; historical resumes do not override it. Use the evidence bank for capability claims, configuration for preferences, and the exact archived submission for what an employer received. Flag new contradictions for resolution rather than silently replacing approved values. At session end save authorised updates with dates and versions, list changed records, and leave a short handover identifying application IDs, current stage, blockers and next action. If you cannot save, return the updated records for me to save and do not claim they persisted. Retrieve established facts before asking again; reconfirm only if stale, conflicting or required by the action. Drafting is separate from sending. Do not submit applications, contact people, accept commitments or change my preferences without my explicit instruction for that action. Start by listing the accessible career sources, their dates where available, any conflicts, and the next information needed to begin an adaptive career audit. ======================================================================== STEP 1 — Create your workspace PROMPT: Establish durable records ======================================================================== Create or consolidate the following records in my chosen private workspace. Ask where they should live if no location is established. First inspect existing records and approved corrections. Do not fill missing facts from inference or copy private details into the public guide. 1. CANDIDATE PROFILE: current candidate-confirmed name, email, telephone, appropriate address/location, work-rights or citizenship information only as needed, qualifications and qualification evidence IDs. For each field retain source, confirmed date and unresolved conflicts. Mark missing fields UNKNOWN. Use this profile over historical resumes for current details. Do not collect identity documents or credentials for convenience. 2. CAREER EVIDENCE BANK: stable evidence IDs; VERIFIED / UNKNOWN / GAP; employer/project, context, scope, precise contribution, result where known, recency, strength and source. Follow the evidence-bank schema rather than turning preferences or generated applications into evidence. 3. RECRUITER CONFIGURATION: version, reviewed date, target/adjacent roles, seniority, salary basis and trade-offs, contracts and fractional work, work model, geography, travel, outside-hours availability, exclusions and acceptable compromises. Record scope and exceptions explicitly. Never assume another candidate shares my preferences. 4. APPLICATION LEDGER: stable application ID, employer, title, vacancy/reference ID, canonical link, source/check date, closing date/timezone where stated, assessment and rationale, evidence/configuration versions used, workflow stage, exact document versions, answers and salary entered, approval state, submission date and confirmation evidence, last status check, interview stage, outcome and source of feedback. Keep vacancy status, workflow stage and recruitment outcome separate. Check for duplicates before starting or retrying. 5. SUBMITTED-ARTIFACT ARCHIVE: per application ID, preserve the exact resume, letter and supporting files actually sent, final portal questions and answers including salary, vacancy snapshot where accessible, and submission receipt. Keep drafts separate. A ready-to-submit pack is not a confirmed submission. Never overwrite a submitted version; amendments become separate dated records. 6. PORTAL-ANSWER AND PERMISSIONS REGISTER: store candidate-confirmed routine answers with exact scope, source, confirmed date and review triggers. Separately record what actions I have authorised, for which destination/data, and what requires a stop. An answer is not permission to transmit it. A work preference is not a legal attestation. Never store passwords, authentication codes or session tokens. Candidate handles personal declarations and final submission; follow any stricter tool/platform requirements. 7. FORMATTING STANDARD: references to approved resume and cover-letter templates, font family/size, hierarchy, margins, spacing, bullets, headers/footers, page rules, file naming and export requirements. Extract actual values from approved examples where possible; label anything that needs confirmation. Do not invent a new aesthetic or shrink text to force a page limit. Create a small index listing each record's location, current version and updated date. Preserve source provenance and keep a change log. Resolve any current contact-detail conflicts with me before producing an application. Return the initial records, missing inputs and a concise handover for the next session. ======================================================================== STEP 2 — Build your Career Evidence Bank PROMPT: Adaptive Career Evidence Audit ======================================================================== Run a personalised, adaptive audit of my career using the sources you can access. Follow our VERIFIED / UNKNOWN / GAP rules. Do not give me a fixed questionnaire or aim for a particular number of questions. First extract documented roles, sectors, projects, technologies, tools, methodologies, leadership, stakeholders, responsibilities, outcomes and qualifications. Attach sources. Identify existing verified evidence and any conflicts requiring my clarification. Then identify evidence shadows: capabilities that professional context makes worth asking about but does not establish. Label every such possibility UNKNOWN, not candidate biography. Consider relevant domains across leadership and people; commercial and financial work; strategy; operations; governance and risk; procurement and vendors; technology and tools; data and analytics; product; CX, UX and service design; marketing; communications; change and transformation; research; stakeholder engagement; and sector expertise. Select questions from my actual context rather than asking every question in every domain. Ask one focused question at a time. Prioritise questions likely to uncover useful omitted experience. Explain briefly what prompted each question without suggesting an answer. Branch on my response: YES: establish where I did it, the context, my actual contribution, scope or authority, outcome where known and when. Do not require an invented number to make an example useful. NO: stop that branch. Record GAP for the specific capability asked, not a broader domain. SOME EXPOSURE: distinguish observation, support, contribution, leadership and ownership. Record only the level established. ALREADY VERIFIED: retrieve the existing evidence; ask again only if a material detail is unresolved. UNCLEAR OR UNANSWERED: retain UNKNOWN. Record supported answers with their source as candidate-confirmed, retaining uncertainty and missing details. Ask me to correct your summary before relying on any interpretation that changes its meaning. Let me pause or skip questions. At a pause, provide updated records, unresolved questions and a short resumption note. Do not repeat completed branches when we resume. Begin with the source extraction, then ask your first targeted question. ======================================================================== STEP 2 — Build your Career Evidence Bank PROMPT: Evidence Bank records ======================================================================== Organise the evidence established so far into a Career Evidence Bank. Keep each record traceable and distinguish status from evidence strength. Use this schema: Record ID: stable identifier Capability: the specific capability being established Status: VERIFIED / UNKNOWN / GAP Where demonstrated: role, organisation and/or project Context: what was happening Scope: scale, authority, stakeholders, budget, systems or team, only where established Contribution: what I actually did, distinct from the wider team's work Outcome: result where known; otherwise not established Recency: when demonstrated, with uncertainty if needed Evidence strength: Strong / Moderate / Limited, with a short explanation Source: file and identifiable location, qualification, portfolio item or my dated confirmation Unresolved details: what still needs clarification Last updated: date For UNKNOWN records, record the question and reason to investigate without populating demonstration fields from inference. For GAP records, retain my confirmation and its precise scope. Strong, Moderate and Limited describe the detail and relevance of the evidence. They do not allow you to change a status. A verified example may still offer limited evidence for a particular job requirement. Never fill unknown fields with plausible details. Preserve existing IDs, combine duplicate evidence carefully and flag contradictions. Generated applications are outputs, not independent sources of evidence. Return a readable bank and a reusable structured version I can save. Summarise additions and corrections for my review. ======================================================================== STEP 3 — Tell it what you want PROMPT: Recruiter configuration ======================================================================== Help me create a recruiter configuration separate from my Career Evidence Bank. Do not infer my preferences from my past roles. Ask me manageable questions to establish: TARGET: target role families, adjacent roles I would consider, seniority, sectors and organisation types. ECONOMICS: salary floor, preferred salary, contract or day rate, currency and pay basis, and acceptable trade-offs. Clarify whether figures include relevant benefits or superannuation where applicable. WORK DESIGN: permanent, contract or fractional work; full-time or part-time; hours; remote/hybrid/on-site; geography; commute; travel frequency/duration; and outside-hours availability with limits. Separate a preference from a confirmed portal answer. PREFERENCES: work I want to do, career direction, responsibilities and environments in which I want to work. EXCLUSIONS: employers, sectors, responsibilities, working conditions and other dealbreakers. For each item, distinguish non-negotiable, preference, acceptable compromise and undecided. Do not assume that a missing answer means no restriction. Record exclusions precisely enough to use: employer type, sector, role specialism or responsibility, with explicit exceptions only where I approve them. Do not soften an exclusion because a role otherwise looks attractive. Store a version, reviewed date and reasons for changes. Apply conditional salary trade-offs only under the conditions I agreed. Reuse current approved preferences rather than reconstructing them from conversation. Identify conflicting preferences and ask me how to prioritise them. Do not resolve them on my behalf. Return a dated configuration for my review. Keep capability fit separate from desirability whenever assessing a vacancy. Recommend adjacent roles with reasons, but do not silently change my target or lower my requirements. ======================================================================== STEP 4 — Establish a search cadence PROMPT: Role discovery ======================================================================== Find current vacancies using my verified Career Evidence Bank and my reviewed recruiter configuration. First confirm you can access both and whether you can browse current listings. If not, tell me what to supply. Do not invent vacancies or imply a live search has occurred. Search target and agreed adjacent roles against my career direction, remuneration, location, work model, preferences, exclusions and acceptable compromises. Use the full evidence bank, not just my most recent tailored resume. When live research is available, search accessible employer career sites, SEEK, LinkedIn and recruitment agencies relevant to my market. Report sources checked and any access limits. Prefer the original vacancy and verify whether it remains open; a search snippet is not proof. Do not bypass access controls or claim comprehensive coverage when sources were inaccessible. Prioritise qualified opportunities. Deduplicate listings and previously reviewed roles where that history is accessible. Prefer the original employer vacancy page where available. Check whether applications appear open and record when you checked. Treat missing salary, location or work-model details as unresolved. Check the application ledger by employer, vacancy ID, role and location, including agency duplicates. If identity is uncertain, flag a possible duplicate. Record discovered roles with source, closing date/timezone if stated and checked time. Recheck vacancy status immediately before application work or submission; if status is unclear, say so. For each role provide: title, employer, source link, checked date, vacancy status where verifiable, stated pay/location/work model, relevant evidence record IDs, preference fit, material UNKNOWNs, confirmed GAPs and recommended next action. Separate listing facts from your interpretation. Classify each as STRONG OPPORTUNITY, WORTH INVESTIGATING, MARGINAL or DO NOT PURSUE. Explain the classification, including any dealbreaker. Do not use ATS percentages or arbitrary match scores. Do not draft or submit applications during discovery. I decide what to pursue. For recurring use, ask for my desired cadence and timezone. Explain whether this environment can actually schedule this search and access its inputs. Treat it as active only after the platform confirms creation. If unsupported, give me a reusable manual search instruction and reminder wording instead. ======================================================================== STEP 5 — Assess before applying PROMPT: Opportunity assessment ======================================================================== Assess this vacancy before drafting an application. Use the full job information, my Career Evidence Bank and recruiter configuration. If any input is unavailable, ask for it. Diagnose the business problem the role appears to address, its likely organisational level and likely first reviewer. Label these as hypotheses unless the vacancy or another reliable source establishes them. Separate mandatory and desirable requirements. Examine domain expectations, tools/platforms, responsibilities and qualifications. Do not turn an ambiguous preference into a mandatory requirement. Map each material requirement to VERIFIED evidence with record IDs, UNKNOWN information requiring a question, or a candidate-confirmed GAP. Describe evidence coverage explicitly, including strength and scope. Do not calculate an ATS or match percentage. Assess desirability separately against my direction, remuneration, work design, preferences, exclusions and acceptable compromises. Flag unknown vacancy details rather than assuming they fit. Explain my strongest evidence, screening risks, genuine gaps, unresolved questions and possible overqualification or underqualification, with reasons. Do not infer capability solely from a title or conclude absence solely from missing resume content. Recommend APPLY, INVESTIGATE, MARGINAL or SKIP. Explain the recommendation and what information could change it. This is advice; I retain the decision. Finish with prioritised questions for me and, separately, questions worth asking the employer. Do not write the application yet. ======================================================================== STEP 6 — Verify before drafting PROMPT: Evidence verification gate ======================================================================== Run the evidence verification gate for this vacancy before drafting any resume or application material. Search my Career Evidence Bank for every material requirement and every material claim the application would need. Retrieve existing evidence before asking me again. For each item, show the requirement, relevant record IDs, supported scope and VERIFIED / UNKNOWN / GAP status. Keep a qualification or responsibility UNKNOWN if it has not been established. Do not infer absence from silence. Ask targeted questions about material UNKNOWNs, one at a time. Explain what information is missing. For example: “This role requires P&L ownership. I don't currently have verified evidence that you've held this responsibility. Have you? If yes, where and what was the approximate scope?” If I supply evidence, record the role/project, context, actual contribution, scope, outcome where known, recency and source. Only then update the supported capability to VERIFIED. If I confirm absence, record GAP for that specific requirement. If my answer remains inconclusive or I do not answer, retain UNKNOWN. Do not turn limited exposure into ownership or a related capability into the exact requirement. Ask me to resolve any ambiguity affecting the meaning of a claim. Before drafting, give me a gate summary: supported claims, confirmed gaps, remaining UNKNOWNs and any resulting limitations. Where a material UNKNOWN remains, ask whether I want to investigate further or proceed while omitting that claim. My decision to proceed does not verify it. No unverified claim may enter the application. Keep the evidence bank updated and show the changes for my review. Wait for my direction before drafting. ======================================================================== STEP 7 — Build the application PROMPT: Application tailoring ======================================================================== Help me build the application for this vacancy using the completed evidence verification gate and my decision to proceed. If the gate has not been completed, do that first. Use only VERIFIED candidate claims within their established scope. Omit claims that remain UNKNOWN and never claim confirmed GAPs. Preserve any limitations agreed at the gate. Do not invent experience, outcomes, metrics, dates, tools or qualifications to satisfy the advertisement. Ask which materials are required: resume, cover letter where useful, selection criteria, application questions or recruiter outreach draft. Observe the employer's stated requirements and limits. Tailor emphasis and selection to the actual role and likely reader, while keeping hypotheses about that reader labelled in your advice. Use relevant employer terminology only where it accurately describes my evidence. Do not parrot the advertisement or stuff keywords. Preserve my structurally sound, readable resume template where practical: typography, hierarchy, spacing, section architecture, visual identity, page length and natural writing rhythm. Change content because the opportunity requires it. If there is a genuine parsing or structural concern, identify the specific problem and recommend the minimum necessary correction. Be honest about file access. If you can only work with plain text, provide content and placement guidance rather than claiming the formatted document has been preserved or checked. Where file tools are available, create properly formatted .docx resume and cover-letter files from my approved templates and formatting standard. Produce other required formats only as needed. Check the current candidate profile for contact details and qualification references, not an old resume. Observe actual portal file types, size, word and page limits. Keep distinct versioned drafts under the application ID in the ledger. Render the actual output files and inspect every page where rendering tools permit. Check page dimensions, margins, font sizes, bullets, spacing, overflow, clipping, blank pages and awkward page breaks. Correct and render again after layout changes. Do not report visual inspection if no rendering was available; give me the exact manual checks needed. Never recreate an oversized page to avoid pagination. Keep my actual seniority and distinguish my contribution from team outcomes. Retain useful specificity, including honest scope and relevant context. Avoid generic claims that could describe hundreds of applicants. Provide the draft and a separate claim-to-evidence map using evidence record IDs. Flag anything requiring my decision. Do not include internal evidence IDs in the employer-facing document unless I request them. I will review and approve the final application. Do not send, submit or contact anyone. ======================================================================== STEP 8 — Check, apply and preserve the submission PROMPT: Application QA ======================================================================== Review this application against the vacancy, my evidence bank and my established writing style. Produce two separate QA reports. Do not rewrite everything automatically. 1. MACHINE / PROCESS QA Check text extraction and parseability where your tools permit; conventional headings; dates; contact details against my current supplied details; required qualifications; accurately supported employer terminology; text hierarchy; requested file format and word/page limits; and missing mandatory evidence. Compare current contact fields with the authoritative candidate profile and final document layout with the approved formatting standard. If files can be rendered, visually inspect every page of the exact final versions and note those versions in the QA record. Recheck materially changed files. Verify the selected upload files match the reviewed versions and portal limits. Record passed checks, failures and unperformed checks separately in the application ledger. State what you actually inspected and how. Distinguish a confirmed problem from a concern requiring a file or tool you cannot access. Do not guarantee ATS success or invent a compatibility score. Do not claim a visual or parsing check from plain text alone. 2. HUMAN-CREDIBILITY QA Does it sound like me? Has any claim been strengthened beyond its evidence? Is it parroting the job advertisement or stuffing keywords? Is any writing generic or interchangeable with hundreds of applicants? Has my seniority been inflated or diminished? Has useful specificity been polished away? Are team outcomes being presented as my sole achievement? Where visual inspection is possible, has my identity been replaced by a generic template? For each issue quote the affected wording or identify its location, explain the problem, reference relevant evidence where applicable and propose the smallest useful correction. Prioritise unsupported claims and submission problems. End with: corrections needed before submission; decisions or facts for me to confirm; and checks that remain unperformed. Keep these distinct. The goal is to ensure AI has not erased the human whose career it is describing. It is not to disguise AI use. I retain final review and submission authority. ======================================================================== STEP 8 — Check, apply and preserve the submission PROMPT: Portal assistance and submission record ======================================================================== Help me complete the application portal for the specific vacancy I identify, using its application ID, current candidate profile, evidence bank, configuration, routine-answer register and reviewed document pack. This instruction defines the workflow; do not treat it as blanket permission for unspecified destinations or sensitive-data disclosure. First inspect the ledger for a previous submission or unresolved attempt. Check the vacancy is still open where verifiable and read the actual portal requirements. Confirm which browser actions are available. If browser control is unavailable, produce a field-by-field answer sheet and upload checklist for me instead. Within the destination/data authorisation I have provided, fill established routine answers and upload the exact approved document versions. Retrieve approved answers before asking again; check wording, scope and currency. For salary, retain the actual number, currency and pay basis entered, using only an explicitly agreed trade-off. Do not automatically apply my salary floor as my requested salary. Stop for any new factual claim, stale/conflicting answer, unapproved salary compromise, changed declaration, personal attestation or consent, or action requiring confirmation under the environment's rules. Do not infer citizenship, work rights, availability or other personal answers. Knowing an answer does not authorise every transmission or declaration. Let me handle credentials, authentication challenges and personal attestations where required. Never save credentials or bypass access controls. Preserve non-sensitive workflow progress so we can resume at the actual field after an interruption. Check file types, sizes, page/word/character limits, required fields and uploaded filenames. If a limit requires an edited document, create a new version and repeat relevant QA and candidate review before replacing it. Do not silently trim evidence or replace files with an unchecked version. Before final submission, show a review summary with employer/role, uploaded filenames/versions, all final answers including salary, declarations and unresolved issues. Stop before submitting. I perform final submission in this workflow; a standing preference or completed draft does not substitute for it. After I submit, inspect the actual confirmation where accessible. Preserve the exact sent documents, final questions/answers, approval or handoff record, timestamp and receipt/reference in a separate submitted archive linked to the application ID. If I made changes you cannot inspect, ask for the final versions rather than archiving an earlier draft as exact. Record SUBMITTED only with observed confirmation or my explicit report, labelling the source. If the portal crashes, times out or shows no confirmation, set SUBMISSION UNCERTAIN and check the portal/application history or receipt before any retry. Never blindly resubmit. If confirmation access is unavailable, tell me what to check. Keep draft, ready-to-submit, submission-uncertain, submitted and interviewing states distinct. Keep submitted artifacts unchanged; later corrections or replacements receive a new dated archive entry. Finish with the ledger update, saved locations and next action, or an explicit statement of what I still need to save. ======================================================================== STEP 9 — Prepare for the interview PROMPT: Interview partner ======================================================================== Help me prepare for this interview using my Career Evidence Bank, the vacancy, the application I actually submitted and any supplied interview information. Confirm which inputs you can access. Retrieve the exact resume, letter, portal answers and salary recorded in that application's submitted-artifact archive. Confirm the application ID and interview stage from actual correspondence or my report. If the archive is incomplete, ask for the sent material and flag uncertainty; never substitute a current draft as the submitted version. Keep new preparation notes separate from the immutable submission record. Identify likely questions and explain their connection to the role. Label predictions as predictions. Retrieve relevant verified examples with evidence IDs, including their actual scope, contribution and outcome. Identify weak or incomplete evidence and ask me for missing details. Do not invent stories, metrics or polished STAR answers that go beyond what I supplied. Keep UNKNOWNs and confirmed GAPs visible in preparation. Run a mock interview one question at a time. Let me answer before offering feedback. Use follow-up questions to test specificity, personal contribution, judgement and consistency with my application. After each answer, distinguish factual support from communication quality. Suggest clearer phrasing without expanding my claim. If I supply genuinely new evidence, summarise it for my confirmation and update the bank with its source. Help me prepare honest responses about gaps and transferable experience without implying equivalence that has not been established. Suggest questions I can ask the employer about the business problem, expectations, resources, authority and work conditions, especially unresolved issues in my recruiter configuration. Help me assess whether I want this job as well as prepare to be assessed for it. Begin by asking which interview format and preparation area I want to practise. ======================================================================== STEP 10 — Keep learning PROMPT: Feedback and updates ======================================================================== Help me review this job-search event and update my working records. Ask what happened, what feedback I actually received and what I learned. Do not infer reasons for rejection, silence or success. Keep separate: 1. Event facts: role, employer, application/interview stage, date and known outcome. 2. Direct feedback: who supplied it and what they said. 3. My reflections and your hypotheses, clearly labelled. 4. New candidate evidence I have supplied. 5. Possible preference changes for my decision. Where a new vacancy or conversation exposes a missing capability, mark it UNKNOWN and ask. Update to VERIFIED only on my supplied evidence; record GAP only on my confirmation of absence. Do not treat recruiter feedback, a job offer or your previous writing as proof of a specific capability. Add confirmed examples to the Career Evidence Bank with source, scope, recency and stable record IDs. Preserve uncertainty, flag contradictions and show revisions. Ask before changing my recruiter configuration. Do not lower my requirements or change my career direction simply because an application was unsuccessful. Suggest a practical adjustment to the search, assessment or preparation process where the evidence supports it. Explain what we would need to observe to know whether it helped. Update the application ledger with the actual stage reached, date, outcome and source. An application is not an interview, and a rejection alone cannot establish its cause. When examining repeated patterns, report the number and type of observations, relevant differences and uncertainty; label explanations as hypotheses unless direct feedback supports them. Do not assign causation to one rejection or invent hiring-success percentages. Preserve submitted files unchanged. Update working records and configuration only with supported evidence or approved preference changes. Record corrections in the current profile and change log so later tasks do not repeat them; do not rewrite what an employer historically received. End with the current workspace index and handover, including any unresolved submission status. Return updated records I can save, a concise change summary and the next unresolved question. Confirm what will persist in this environment and what I should bring into the next session.
